Coach Charter Cost Calculator | OnWay
New: per-trip break-even simulator
A free tool for people who put coaches on the road

Coach and charter cost calculator

Enter the route, the vehicle's fuel economy and your operating costs. See the trip's cost, the cost per kilometre across the full distance and the quote produced by your chosen markup.

The calculator uses your figures in Brazilian reais (BRL) and kilometres. Use it to estimate an operation with your own fleet or understand the components of a coach charter. If a carrier has already given you a fixed quote, do not add the fuel and drivers included in that offer a second time. This estimates one trip by one coach. For several vehicles, calculate each one and add the results.

Build your estimate

Complete the required fields. Blank optional costs count as zero. The example button uses illustrative assumptions, not a market quotation.

* Required field. Monetary values are in Brazilian reais (BRL). Use a decimal point, as in 2.5.

1. Route and fuel
2. Crew

This simple calculation uses the same daily cost and number of days for every driver. Check the actual roster when planning the expedition; the number entered here does not validate working hours or rest periods. Understand drivers, rest periods and expedition logistics.

How the cost per kilometre is calculated

Fuel

Estimated litres = total kilometres ÷ fuel economy in km/L. Diesel cost = litres × price per litre. Fuel cost per km is the price per litre divided by fuel economy.

Drivers

Driver cost = days × number of drivers × daily cost per person. Meals and accommodation are entered as a separate total for the trip.

Cost and quote

The cost adds up the amounts entered. The quote adds your chosen percentage to that cost. Per-km figures use the entire distance travelled, including empty kilometres.

Use a consistent method to allocate vehicle costs. Counting the full financing principal alongside depreciation as two independent vehicle costs can count part of the expense twice.

An example to explain the calculation

With 800 km carrying the group, 200 empty km, hypothetical fuel economy of 2.5 km/L and diesel at BRL 6.50/L, the estimate is 400 litres and BRL 2,600 for fuel. In the calculator's complete example, costs total BRL 7,700; adding 20% gives a quote of BRL 9,240, or BRL 9.24 per kilometre across the full distance. With 40 paying passengers, the transport would be split at BRL 231 per person. All these figures are assumptions used to demonstrate the calculation.

Take the calculation into Excel

The free workbook follows the same logic as the calculator, with editable inputs and visible formulas in a single worksheet. The file is in Portuguese, uses Brazilian reais and contains no macros. Registration unlocks the template; it does not send the figures from your simulation.

From the quote to organising the trip

This calculator produces one estimate at a time. In OnWay, an agency can link suppliers, costs, bookings and incoming payments to each trip and track the operation's financial result. If you hire a carrier, you can use its agreed price in the excursion budget, checking what is already included.

Questions about coach charter costs and quotes

How do I calculate a coach's kilometres per litre?

Divide the distance travelled by the litres actually consumed over the same period. You can enter the resulting km/L in the calculator. Compare consistent measurements from the same vehicle and similar operations; the page's example is not an average for the category.

Is the fuel cost per km the charter price?

No. It covers only the diesel calculated. Crew, tolls, maintenance, tyres, fixed costs and other items also form part of the operation. The quote also depends on the chosen markup and commercial terms.

Why include kilometres without passengers?

The vehicle still burns fuel and accumulates wear between the depot, boarding points, destination and empty return. The tool adds these distances and uses all kilometres travelled to calculate the per-km figures.

Does adding 20% to cost mean a 20% margin?

No. A cost of BRL 100 with a 20% markup gives a price of BRL 120. The BRL 20 difference is 16.67% of that price, before any costs or taxes that have not yet been included.

Does the calculator decide how many drivers the trip needs?

No. The quantity is an input to your budget. The roster, driving and rest periods, and operation at the destination must be planned for the complete itinerary.

Do I need to register to calculate or download?

The on-site calculation does not require registration. To download the workbook, enter your name and a Brazilian WhatsApp number with area code (DDD). Email and permission for commercial contact are optional. The file is a template in Portuguese and does not contain the figures entered in your browser.
