A straight-to-the-point guide to getting the most out of OnWay: create trips, build bookings and the seat map, generate the DAER list, manage finances, issue contracts and receipts, use the CRM and enable the passenger portal.
Go to Settings (gear icon in the menu). In the Data tab, fill in the agency name, person in charge, phone, PIX key and address. In the Visual tab, choose the color theme. In the Signatures tab, set up the agency signature that is applied to the documents.
In the side menu, click Team and then New Member. Fill in name, type (agent, driver, guide, assistant, photographer), email, phone and default commission. Only members of the Agent type earn automatic commission.
In the Trips menu, click New Trip. Fill in name, destination, departure and return dates, number of spots, package price and bus layout. Once created, you land on the trip dashboard, with tabs to manage everything.
There are three combinable permissions: Master (full access, settings and analytics), Finances (payments and reports) and Deletion (can delete bookings and passengers). A user can have any combination of them.
Yes. OnWay is 100% mobile-first and installs as an app (PWA). On Android, open it in Chrome and tap Add to Home screen; on iPhone, open it in Safari and tap Share and Add to Home Screen. On the phone, navigation uses the bottom bar, and the app works offline.
Menu Trips and New Trip. Fill in name, destination, dates, total spots, package price per person, single room price, agents' default commission and the bus layout. Then manage everything from the trip dashboard.
In the trips list, click Duplicate (copy icon). A copy is created keeping the destination, dates, prices and settings, ideal for recurring trips (monthly expeditions, for example).
Tabs for everything: PAX (passengers and bookings), Bus (seat map), Staff (trip team), Finances (revenue, costs, commissions and balance), Itinerary (day by day), Hotel (rooms and guests), Pending (what is missing), Documents and Overview.
In the Itinerary tab, click Add item and enter day, title and description. Items are grouped by day. You can import the itinerary from another trip and export everything as PDF or send it via WhatsApp.
On the trip dashboard, PAX tab, click Add Customer. Search for a passenger by name, CPF or phone, or click Create New Customer to register one on the spot. Set seat, price, insurance and single room, and record the down payment.
The base price is the trip's package price. The single room supplement (if checked) and the insurance (if included) are added. You can manually change the total using the override button.
On the passenger's booking, click the payment icon. Enter amount, method (PIX, card, cash), an optional description and the receiving agency. The outstanding balance updates instantly and the receipt comes out ready.
On the PAX tab, click the trash icon on the booking. It is marked as canceled (without erasing the history) and the seat is released on the bus map.
Conventional (2+2), Sleeper (1+2), Double Decker (two floors) and G8 Premium 43 (2+1, double-deck with restroom, the most detailed). The rendering is faithful to the real bus.
On the Bus tab, click an empty seat and select the passenger, or use auto-assign to distribute everyone at once. The map prevents the same seat from being sold twice.
On the seat map, click the WhatsApp button. A formatted text is generated with each seat and the passenger's name (or "Available"), ready to send to the group.
It is the official document required for charter trips, with bus, driver and guide data plus the list of passengers with documents and signatures. OnWay generates it automatically in HTML, PDF and WhatsApp, with no manual typing.
Through Suppliers and New Supplier (Hotel type), or directly on the trip's Hotel tab, creating a hotel inline with name, city, state and phone.
On the Hotel tab, select the hotel and click New Room (number, type and notes). In each room, use Add Guest to place the passengers. Types range from single to quintuple.
The list of rooms with guests on the Hotel tab is itself the rooming list. Use the filters by state, city and hotel and click the WhatsApp button to send the formatted list.
On the trip dashboard, Finances tab: expected vs. received revenue (per passenger), costs by category and supplier, commissions per agent and the summary with net profit and margin.
Three models: percentage of the sale (e.g., 10% of each booking), percentage of the profit (e.g., 20% of the trip's net profit) and fixed amount per passenger. Set the rule in the trip's Finances tab.
Menu Finances, Overdue tab: it lists every passenger with an outstanding balance, sorted by amount, with trip, phone and responsible agent to make collection easier.
On the trip dashboard, use the download button. You export the passenger list or the financial report in a format compatible with Excel and Google Sheets.
Contract, individual receipt, consolidated receipt (full statement), boarding ticket, commercial proposal, confirmation voucher and DAER boarding list. All in PDF and shareable via WhatsApp.
On the Documents page, select the trip and the Contract type, then click Generate All. The system creates one PDF per passenger, with a progress bar, downloading automatically.
On the Documents page, click Templates, create a template with a name and edit the content freely. Each agency has its own templates, and you choose which one to use when generating.
In Settings and Signatures, set the agency signature, which is automatically applied to every generated document. OnWay does not do electronic signature for the passenger: the passenger's signature happens outside the system, on paper. There is no ICP-Brasil digital certificate or integration with a third-party provider.
Leads are interested people who have not yet closed a booking. You record the interest and the contact date and follow the stage: pending, contacted, closed (became a booking) or dropped off.
On the CRM page, click Convert on the lead. The stage changes to Closed and you are taken to create the passenger's booking on the trip.
A score from 0 to 100 that estimates the chance of the customer buying again, based on recency, frequency and value (RFM), referral network, demographics, geography and CRM activity. Tiers: Hot (75+), Warm (40-74) and Cold (below 40).
Each contact becomes a record with a date; when you talk to the customer, you note what was agreed and schedule the next follow-up right away. The schedule shows the day's calls, per attendant, without depending on paper.
Through the portal address, logging in with CPF and date of birth, with no email or password. It works on the phone and was designed for seniors.
My Trips (with status and balance), Payments (statement), Documents (contract, receipt, ticket and voucher, to download or receive via WhatsApp), Photos (gallery with facial recognition) and Profile.
In Settings, Portal tab, you turn each item on and off individually: itinerary, statement, contract, receipt, voucher, ticket and photos. Each agency configures it its own way.
In the gallery, the system uses AI that runs in the browser itself to find the passenger's face and compare it with the trip photos by similarity. No biometric data is sent to external servers.
The agent sells trips and earns commission; the driver drives the bus; the guide accompanies the group; the assistant supports the operation; the photographer records the trip. Only agents earn automatic commission.
On the trip dashboard, Staff tab, search for a member by name or create a new one. Set the role on the trip (guide, driver, etc.) and the seat, if applicable.
In the Photos menu, select the trip and click Upload to send several files at once. The AI processes each photo to detect faces and enable facial recognition in the portal.
In the Sales tab of the Photos page you follow the history. The commission is split among photographer, agency and platform according to the configuration, and passengers buy through the portal.
Ctrl+K (or Cmd+K on Mac): global search, find passengers, trips or pages instantly. Ctrl+/: opens the Help Center. Esc: closes the open modal or panel.
