Download the file nowOn an excursion, lodging often involves more than one hotel and more than one room type at each. Tracking this by hand means multiplying nights, number of rooms, and nightly rate for every row, and then adding it all up again to know the total cost.
The template on this page organizes each booking in one row (hotel, city, dates, room type, quantity, and rate) and calculates on its own how many nights there are and how much that row costs. A second tab adds up the total spent at each hotel and the overall lodging total for the excursion.
This works well while one person is booking lodging for one excursion at a time. The point where this format falls short is described further down this page.
Besides the working tabs, the file comes with a Read me tab explaining how to fill it in and what each formula does.
| Tab | Columns | What it calculates on its own |
|---|---|---|
| Lodging | Hotel, City, Check-in, Check-out, Room type, Quantity, Nightly rate, Notes | Nights (difference between check-out and check-in) and Room total (nights times quantity times rate) |
| Summary by hotel | Hotel | Total spent at that hotel, added up from the Lodging tab, and the overall lodging total for the excursion |
The Room type column comes with a ready-made list to choose from (Single, Double, Triple, Quadruple, Quintuple), so you don't type it wrong.
It's not a lack of organization, it's the format reaching its limit.
Excel or Sheets doesn't warn who changed what. Whoever saves last erases the change of whoever saved first, with no warning at all.
The spreadsheet adds up the cost per hotel, but on its own it doesn't show how much each passenger paid or whether that amount already covers their share of the lodging.
There is no automatic alert for due dates, overdue installments, or who still hasn't paid the room deposit.
Each trip becomes a new copy of this file, with no single place that brings together the lodging cost of all the month's excursions.
The spreadsheet is free and genuinely useful for those who are getting started and can't hire a system yet. The platform comes in when it stops being enough, not before.

What was booked at each hotel of the excursion: how many rooms of each type, how many nights, the nightly rate, and the total lodging cost, per hotel and overall.
One row per room type booked at each hotel: for example, one row for the Double rooms at Hotel X, another for the Triples at the same hotel, with check-in, check-out, quantity, and nightly rate.
No. The Nights column is the difference between check-out and check-in, calculated by the spreadsheet itself from the two dates you enter.
It multiplies nights times the number of rooms of that type times the nightly rate. Each row's result adds itself to that hotel's total and to the overall lodging total.
Yes, the Summary by hotel tab adds up the total spent at each hotel entered in the Lodging tab, plus the overall lodging total for the excursion.
